Who we are

MCG Training LLC (“MCG Training,” “we,” “us”) provides technology training, change management, and process consulting to nonprofits and mission-driven organizations. This policy covers this website and the internal media clip tracking tool we operate for a client organization.

This website

If you contact us through the form on this site, we collect the information you submit (such as your name, email address, organization, and message) through HubSpot. We use it only to respond to you and to manage our business relationship with you. We do not sell your information. You can ask us to delete it at any time by emailing the address below.

Our media clip tracking tool and Google user data

We operate an internal tool that helps a client organization track news coverage that mentions it. The tool is not a public product, and it is used only by MCG Training and the client organization’s communications team.

The tool connects to a single, dedicated Gmail mailbox that the client organization created to receive Google Alerts. The mailbox owner grants access through Google’s standard sign-in screen. The tool requests the Gmail “modify” permission (https://www.googleapis.com/auth/gmail.modify).

What the tool does with that access: it reads only the Google Alerts emails that carry a specific label in that mailbox. From each email it extracts the article headline, a short snippet, and the link to the article. It then applies a second label to mark the email as processed, so it is not read twice. It does not read, send, delete, or change any other email, and it does not send mail.

What we store: the article headline, outlet, link, snippet, and publication date are saved to an Airtable database that the client organization uses to build media reports. We do not store the full text of emails or any personal correspondence.

The tool’s sign-in credentials are kept as encrypted secrets in a private code repository and are used only to run the tool.

Google API Services User Data Policy

MCG Training’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically: we use Google user data only to provide and improve the media tracking feature described above. We do not transfer it to others except as needed to provide that feature (for example, saving article links to the client’s Airtable database), to comply with the law, or as part of a merger or sale. We do not use it for advertising, and we do not sell it. No person at MCG Training reads Google user data except as needed to fix a problem with the tool, with the account owner’s consent, or where required by law.

Retention and revoking access

Article records stay in the client’s database until the client removes them. The mailbox owner can revoke the tool’s access at any time at https://myaccount.google.com/permissions, and can ask us to delete stored records by emailing the address below.

Changes to this policy

We may update this policy as our tools or practices change. The date of the latest update appears below.
